Zoom and Aptsmith
Connect Zoom and every video booking gets its own Zoom meeting on your own Zoom account. When the session is over, its summary and its cloud recording come back to the appointment, so you can send the recording to your client from your own mailbox.

1. What you need
- An Aptsmith account, with a booking tool installed.
- Your own Zoom account. Each person connects their own; nobody shares one.
- For recordings: cloud recording switched on in your Zoom settings. A recording saved to your computer never reaches Aptsmith.
- For summaries: AI Companion meeting summaries switched on in Zoom.
2. Adding Zoom
- Sign in to Aptsmith and open Settings, then Your apps.
- Find Zoom and press Connect.
- Zoom asks you to sign in and shows what Aptsmith is asking for. Press Allow.
- You land back in Aptsmith and Zoom shows as connected, with the Zoom address you signed in with.
Aptsmith asks Zoom for the least it can work with: create, update and delete the meetings it made for your bookings, list your meetings so it does not offer a time you are busy, read a meeting summary, read cloud recording files, and read which Zoom account is connected.
3. Using it
- Set a service to happen over video in your booking tool.
- When somebody books it, Aptsmith creates a Zoom meeting on your account and puts the join link in the confirmation they receive.
- Move the booking and the meeting moves with it. Cancel the booking and the meeting is deleted.
- Your other Zoom meetings count as busy time, so nobody is offered a slot you are already in a meeting for.
4. Summaries and recordings
Record a session to the Zoom cloud, and when Zoom has finished processing it, the recording's share link and passcode are saved with that appointment. If you use Zoom's AI Companion, its summary and next steps are saved there too.
From the appointment you can send the recording to the client. Aptsmith writes the message for you, from your own mailbox, with the link and passcode in it. You read it, change anything you like, and press send. Nothing is sent to a client on its own.
5. What Aptsmith keeps
- The meeting it created for each booking: its Zoom id, join link and time.
- The meeting summary and next steps, where Zoom produced them.
- The recording's share link and passcode. The video itself stays in your Zoom account; Aptsmith does not copy it.
- Which Zoom account is connected, and an access key, encrypted.
All of it lives in your own Aptsmith account and is covered by our privacy policy. You should tell the people you meet when a session is being recorded.
6. Removing Zoom
From Aptsmith:
- Open Settings, then Your apps.
- Find Zoom and press Disconnect. Access stops immediately.
From Zoom:
- Sign in at marketplace.zoom.us.
- Choose Manage, then Added Apps.
- Find Aptsmith and press Remove.
Either way, Aptsmith stops creating and changing meetings straight away. Meetings already in your Zoom account stay there, and so do your recordings. Bookings already made keep their join links. What Aptsmith already saved with an appointment stays in your account until you delete it, and goes when you delete your account.
7. If something is not working
- No meeting was created. Check Zoom still shows as connected in Your apps, and that the service is set to happen over video.
- No recording on the appointment. Cloud recording has to be on in Zoom before the session, and Zoom takes a while to process a recording after the meeting ends. A recording saved to your computer cannot be sent.
- No summary. AI Companion summaries are a Zoom setting and are not available on every Zoom plan.
- Zoom asks you to reconnect. Press Connect again in Your apps. This happens if access was withdrawn in Zoom.
